The short version
- Players are saved by first name and initial only. No photos, no dates of birth, no contact details.
- Only the coaches of a team can see that team’s players and matches. Players never appear on a public page.
- We never sell players’ data or use it for advertising. There are no adverts and nothing tracks you: we only count visits to our public pages, in total, without cookies.
- Squad Playtime doesn’t email or text anyone at the moment.
- Everything is kept on one server in Germany, inside the EU.
Who runs Squad Playtime
Squad Playtime is a small app for grassroots youth teams, run by Paul Andrews. It is free to use and invitation only during its first season.
Questions, or a request to see, correct or delete something: email [email protected].
The club decides what goes in
A club’s coaches choose which players to add and record what happens in their matches. We keep that for the club and use it to run the app for that team. We may also use anonymous totals across all teams, with no names, to improve the app. If you’re a parent, the quickest way to ask about your child is the team’s coach. You can also email us and we will act on it.
What we keep about players
- First name and the initial of their surname, as the coach types it.
- The positions they play and whether they usually start.
- For each match: whether they were available, when they arrived, the minutes they played and where, when they came on and off, the goals they scored, and whether they came off injured. We never record what the injury was.
We never ask for or keep a player’s full name, date of birth, photo, school, address or anyone’s phone number. Parents don’t have accounts.
What we keep about coaches
- Your name and email address.
- Your password, stored only as a one-way scrambled code, so nobody can read it, us included.
- If you sign in with Google: your Google account number and email address. We ask Google for your name and email only, never your contacts, files or anything else.
- Your club, your teams and your role in each.
- The phones you’re signed in on, and when each was last used, so a lost phone can be signed out.
- Who did what in a match, for example who logged a goal, so coaches can sort out mix-ups.
If you join the waitlist
We keep your name, email address, club, county, role and sport, and the date you joined, to offer your club a place. We count how many coaches from each club are waiting, to decide which clubs to invite first. We never share these details, and we delete them when you join or when you ask us to. We don’t keep your IP address with them.
What we keep about clubs
The club’s name, county, crest and colours, and its teams by age group and division.
Who can see it
- A team’s players, matches and stats can be seen only by that team’s coaches and admins, after they sign in.
- Invite links show only the club crest and team name.
- We can reach the server to keep the app running, fix problems and act on requests. We look at a team’s data only when that’s needed.
Where it’s kept
- On a server we rent from Hetzner in Nuremberg, Germany.
- Every visit passes through Cloudflare, which protects the site and speeds it up. Cloudflare sees your IP address and the pages you request, as any network provider does.
- If you choose to sign in with Google, Google knows you signed in to Squad Playtime.
- Backups: a nightly copy kept for 14 days on the same server, plus Hetzner’s server snapshots kept for 7 days.
Counting visits
To see how coaches find Squad Playtime, our server counts visits to the public pages: which page, the day, the website or link that sent you (just its name, or the club tag on a shared waitlist link), and your country as Cloudflare reports it. It keeps these as daily totals, not a record of each visit. To tell visitors apart for a single day, it uses a scrambled code made from your IP address and browser, which changes every day, is deleted once the day is over, and can’t be turned back into either; we never keep your IP address. There are no cookies and no third-party analytics, and nothing inside the app is counted this way. If your browser sends a “do not track” or Global Privacy Control signal, you aren’t counted at all.
Cookies
One cookie keeps you signed in on your phone. A second, short-lived one protects the Google sign-in while it happens. Both are needed for the app to work. We set no other cookies and nothing follows you around the web. Cloudflare may add its own short-lived security cookie to tell people from bots.
How long we keep it, and deleting it
- We keep a team’s data while the team uses Squad Playtime.
- When a coach removes a player, the player is hidden but their past minutes stay in the team’s history. A team admin can also delete a player permanently, which removes their name from all of the team’s history.
- To close your coach account, or to have a club or team deleted, email us.
- Deleted data drops out of the backups within 14 days.
Your rights
You can ask to see what we hold about you or your child, to correct it, or to delete it. Email [email protected] and we will reply within a month, usually much sooner. If you’re unhappy with how we handle your data, you can complain to the Data Protection Commission at dataprotection.ie.
Safeguarding
- No messaging, chat or comments, so the app is never a way to contact a child.
- No photos of players, ever.
- Coaches join a team only through an invite from that team’s admin. An invite to set up a new club never shows anyone else’s club or team.
- Fair game time comes first: the stats can help coaches decide who plays together and where, never cut a player’s minutes.
Paying for Squad Playtime
Squad Playtime is free to use today. In future we may offer paid extras for clubs, take sponsorship, or let a club order kit through our sister site ClubRobe. Whatever we do:
- We will never sell or rent players’ data, or use it to advertise to anyone.
- A club’s crest and colours go to ClubRobe only if the club’s admin chooses to share them.
- We will send news or offers only to coaches who agree to receive them.
Changes
If we change what we keep or who can see it, we will update this page, and the date at the top, before the change happens.
